Executive Summary

This Acceptable Use Policy (“AUP”) explains the rules for using SpeechTherapy.com’s Services in a way that is lawful, respectful, secure, and consistent with the reputation and stability of the Services. Because SpeechTherapy.com provides email and related services on a shared domain and through third-party infrastructure, misuse by one person can affect other users, message delivery, service availability, and relationships with providers.

In general, you may use the Services for legitimate personal or business communications, subject to the Terms of Service. You may not use the Services for spam, phishing, fraud, malware, harassment, illegal content, scraping, deliverability manipulation, automated abuse, deceptive domain use, unauthorized access, or any activity that harms the shared reputation of SpeechTherapy.com or its Providers.

We may investigate suspected violations, preserve relevant evidence, limit or suspend features, restrict sending, disable forwarding or third-party access, or terminate access, with or without prior notice depending on the circumstances. If you believe we acted in error, you may submit an appeal as described below. Privacy-rights requests and privacy-rights appeals are handled under the Privacy Policy rather than this AUP.

1. Introduction and Scope

1.1 Purpose. This AUP is part of the agreement between you and SpeechTherapy.com LLC (“SpeechTherapy.com,” “we,” “us,” or “our”) concerning your access to and use of the Services.

1.2 Relationship to the Terms and Privacy Policy. This AUP supplements, and does not replace, the Terms of Service and the Privacy Policy. If a capitalized term is not defined in this AUP, it has the meaning given in the Terms of Service or, where applicable, the Privacy Policy.

1.3 Who must comply. This AUP applies to you, your Account, any mailbox, alias, forwarding rule, domain, seat, administrator, delegate, end user, contractor, or other person who accesses or uses the Services through you or on your behalf.

1.4 Services covered. This AUP applies to all current and future Services we make available, including email hosting, forwarding, aliases, webmail, client access, domain-connected services, administrative features, integrations, support channels, AI-assisted features we may later introduce, and any HIPAA-enabled or organization features we may later offer, except to the extent we expressly state that additional or different terms apply.

2. Defined Terms

For purposes of this AUP:

2.1 “Abuse” means any use of the Services that violates this AUP, the Terms of Service, applicable law, Provider rules, or our technical and operational controls.

2.2 “Automated Abuse” means use of bots, scripts, headless browsers, automations, APIs, third-party tools, or similar means to create accounts, access the Services, send messages, manipulate engagement, scrape data, probe systems, evade limits, or otherwise engage in behavior that is not ordinary authorized human use.

2.3 “Deliverability Testing” means the use of seed lists, inbox-placement tools, warming tools, reputation manipulation tools, automated opens, automated replies, automated clicks, automated marking of messages as important or not spam, or similar methods intended to test, influence, or manipulate sender reputation or email placement.

2.4 “Malware” includes viruses, worms, Trojan horses, ransomware, spyware, malicious scripts, credential stealers, or other code, files, links, or payloads intended to harm, disrupt, surveil, mislead, exfiltrate, encrypt, or gain unauthorized access.

2.5 “Providers” means our third-party service providers, subprocessors, and infrastructure partners, including PolarisMail and any payment processor, DNS provider, hosting provider, security provider, analytics provider, communications provider, or similar vendor we use to provide or support the Services.

2.6 “Regulated Data” means personal data, protected health information, biometric data, children’s data, payment data, government identifiers, or other data categories subject to heightened legal, contractual, or industry-specific requirements.

2.7 “Shared-Domain Reputation” means the technical, operational, and reputational standing of the SpeechTherapy.com domain and related sending infrastructure, including sender reputation, complaint rates, blocklist status, authentication integrity, and Provider trust.

3. General Use Standard

3.1 You may use the Services only for lawful, authorized, and good-faith purposes consistent with ordinary personal, professional, educational, or business communications.

3.2 You must use the Services in compliance with: (a) this AUP;
(b) the Terms of Service;
(c) the Privacy Policy;
(d) applicable laws, regulations, court orders, and lawful government requests; and
(e) the technical, anti-abuse, and operational requirements of our Providers.

3.3 You are responsible for all activity occurring through your Account or using Credentials associated with your Account, except to the extent applicable law requires otherwise.

4. No Spam, Unapproved Bulk Messaging, or Reputation Manipulation

4.1 You may not use the Services to send, facilitate, originate, relay, forward, or support: (a) spam;
(b) unsolicited commercial email;
(c) unwanted bulk messaging;
(d) mailing-list email sent to persons who did not specifically agree to receive those messages;
(e) duplicative or repetitive mass messages;
(f) deceptive lead-generation or outreach campaigns; or
(g) messages that violate applicable marketing or anti-spam laws.

4.2 You may not use the Services as a bulk-mail platform, newsletter engine, cold-email platform, transactional email platform, or deliverability-optimization service unless we expressly authorize such use in writing.

4.3 You may not engage in Deliverability Testing or any similar effort to manipulate or monitor inbox placement, sender reputation, filtering behavior, complaint signals, or receiving-system treatment.

4.4 The following are prohibited, whether performed directly or through a third party: (a) email warming;
(b) seed-list testing;
(c) automated opens, replies, or clicks;
(d) automated unsubscribe suppression avoidance;
(e) synthetic engagement;
(f) mailbox farm activity;
(g) domain-aging schemes;
(h) sending to purchased, harvested, rented, scraped, or non-consensual lists; and
(i) sending to invalid, role-based, or obviously mismatched addresses at scale.

4.5 Because the Services rely on a shared domain and shared infrastructure relationships, we may impose stricter message-volume, recipient, forwarding, or reputation-protection controls than another provider might impose, and those controls may change at any time.

5. No Fraud, Phishing, Malware, or Deceptive Conduct

5.1 You may not use the Services for phishing, credential harvesting, impersonation, pretexting, account-takeover attempts, business email compromise, social-engineering attacks, or any other deceptive practice.

5.2 You may not impersonate: (a) SpeechTherapy.com;
(b) our staff, scholarship program, or affiliates;
(c) another person or business;
(d) a government or public institution; or
(e) any service or brand in a way that is false, misleading, or likely to cause confusion.

5.3 You may not use false, misleading, or manipulated identity information, sender names, reply-to addresses, routing data, aliases, or domain settings to deceive recipients or Providers.

5.4 You may not transmit, store, link to, host, or facilitate Malware or other harmful code, including through attachments, URLs, QR codes, scripts, redirects, or cloud-storage links.

5.5 You may not use the Services in connection with fraudulent billing, stolen payment methods, account creation under false pretenses, scholarship-related misrepresentation, or any other scheme involving financial deception or unauthorized gain.

6. Content and Conduct Restrictions

6.1 You may not use the Services to create, send, store, distribute, or facilitate content or conduct that: (a) is unlawful;
(b) infringes intellectual property, privacy, publicity, or other rights;
(c) is defamatory or fraudulent;
(d) constitutes harassment, threats, abuse, stalking, or targeted intimidation;
(e) promotes violence or criminal activity;
(f) contains child sexual abuse material or child exploitation content;
(g) involves non-consensual intimate imagery;
(h) unlawfully discloses personal or confidential information of others; or
(i) otherwise creates material legal, security, or reputational risk for us, our users, or our Providers.

6.2 We are not required to monitor all content or activity, but we may review information, including message metadata, logs, account activity, configuration data, support correspondence, abuse reports, and content where reasonably necessary to investigate possible violations, protect users, comply with law, or preserve the integrity of the Services.

7. Unauthorized Access, Scraping, Testing, and Automated Abuse

7.1 You may not access, attempt to access, probe, scan, test, or monitor any system, mailbox, domain, alias, interface, or account without authorization.

7.2 You may not: (a) bypass, disable, or circumvent security or authentication measures;
(b) evade rate limits, recipient limits, or throttles;
(c) reverse engineer abuse controls or filtering behavior;
(d) scrape directories, contacts, account information, UI content, message content, or metadata belonging to us or others;
(e) use bots, scripts, browser automation, or third-party tools to create Accounts or aliases at scale; or
(f) overload the Services or impose unreasonable burdens on our infrastructure or our Providers’ infrastructure.

7.3 You may not connect unauthorized clients, tools, or automations that, in our judgment, create abnormal traffic, suspicious patterns, or operational or reputational risk.

7.4 Automated access may be blocked or restricted at any time if it appears abusive, materially different from ordinary user behavior, or inconsistent with our technical controls.

8. Accounts, Credentials, Sharing, and Administrative Use

8.1 You must maintain the confidentiality and security of your Credentials.

8.2 Except where we expressly provide an approved delegation, administrative, or organization feature, you may not share your login Credentials with another person.

8.3 You may not sell, lease, sublicense, transfer, or make your Account available to unauthorized third parties.

8.4 If we later offer organization, team, school, practice, clinic, or administrator-managed accounts: (a) the organization account holder or administrator is responsible for ensuring that all authorized users comply with this AUP;
(b) administrators must use delegated-access tools only for legitimate administrative purposes; and
(c) we may enforce this AUP against the organization, the administrator, individual users, or any combination of them.

8.5 You must promptly notify us if you believe your Account, Credentials, connected domain, forwarding rules, or devices have been compromised.

9. Domains, DNS, Forwarding, and Integrations

9.1 If the Services allow you to connect a domain, configure DNS, manage aliases, or create forwarding rules, you represent that you have authority to do so.

9.2 You may not use connected domains, DNS records, sender authentication records, aliases, or forwarding settings: (a) to impersonate others;
(b) to evade anti-spam or anti-abuse controls;
(c) to relay unlawful or deceptive traffic;
(d) to conceal the true source of messages in a misleading way; or
(e) in any manner that harms Shared-Domain Reputation.

9.3 You are responsible for the security and accuracy of third-party integrations and client configurations you choose to use with the Services.

9.4 We may disable or restrict forwarding, aliases, client access, protocols, integrations, or domain features if we believe they are being misused or create legal, security, or deliverability risk.

10. Operational Controls, Limits, and Provider Rules

10.1 The Services are subject to technical, operational, and commercial limits, including limits imposed by us or by our Providers.

10.2 We may impose or change limits at any time, including limits relating to: (a) sending volume;
(b) recipients per message;
(c) recipients per day;
(d) number of aliases or forwards;
(e) bandwidth;
(f) storage;
(g) login frequency;
(h) protocol access;
(i) API or automation access;
(j) domain verification; and
(k) other anti-abuse or fair-use controls.

10.3 You may not attempt to avoid or distribute activity across Accounts, aliases, domains, or end users in order to circumvent those controls.

10.4 Provider rules may be stricter than this AUP in particular situations. If a Provider requires us to act to protect infrastructure, comply with provider policy, or reduce risk, we may do so even if the conduct is not expressly listed in this AUP.

11. Shared-Domain Reputation Protection

11.1 Because email services depend on domain and infrastructure trust, you may not engage in conduct that threatens Shared-Domain Reputation.

11.2 Prohibited conduct under this Section includes: (a) causing or materially increasing complaints, bounces, or spam-trap hits;
(b) sending campaigns likely to trigger filtering or blocklisting;
(c) repeated sending to invalid or unverified recipients;
(d) manipulating authentication or DNS to disguise abusive activity;
(e) cycling through aliases or mailboxes to continue disallowed sending; and
(f) using the Services in a way that we reasonably believe may result in blocklisting, suspension, degraded deliverability, or distrust of the SpeechTherapy.com domain or related infrastructure.

11.3 We may take protective action before completing an investigation if we reasonably believe delay could harm the Services, other users, or our relationships with Providers.

12. Monitoring, Investigation, Evidence Preservation, and Lawful Access

12.1 We and our Providers may monitor, collect, screen, review, analyze, preserve, and disclose information as reasonably necessary to: (a) provide the Services;
(b) enforce this AUP, the Terms of Service, and other policies;
(c) investigate suspected Abuse, fraud, account compromise, or security incidents;
(d) protect users, recipients, us, and our Providers;
(e) preserve evidence; or
(f) comply with applicable law, legal process, court orders, subpoenas, warrants, governmental requests, or emergency disclosure situations as permitted by law.

12.2 Information we may preserve or review for these purposes may include, depending on the circumstances: (a) account and billing information;
(b) authentication and access logs;
(c) IP addresses and device information;
(d) DNS and domain configuration information;
(e) message headers, routing data, metadata, and logs;
(f) message content where reasonably necessary;
(g) support tickets and correspondence;
(h) integration activity; and
(i) records from Providers.

12.3 We may preserve information after suspension, cancellation, or termination for as long as reasonably necessary for security, dispute resolution, compliance, fraud prevention, evidentiary, or legal purposes.

12.4 Preservation, retention, or legal holds may delay deletion from active systems, archives, or backups. Nothing in this AUP or the Privacy Policy means that all information can be deleted immediately from every system upon request.

12.5 We may give notice of legal process or disclosure when we believe notice is legally permitted, operationally appropriate, and unlikely to create harm, but we do not promise advance notice in every case.

13. Reporting, Cooperation, and Remediation

13.1 If you become aware of Abuse, account compromise, fraudulent use, delivery anomalies caused by your activity, or any unauthorized access involving your Account or use of the Services, you must promptly notify us.

13.2 You may report suspected abuse or submit relevant evidence by emailing:

Please include enough information for us to understand and evaluate the matter, such as affected addresses, dates, relevant headers, screenshots, URLs, and a description of what occurred.

13.3 If we contact you about suspected Abuse, you must cooperate in good faith, including by providing reasonably requested information, taking remedial steps, rotating Credentials, removing content, disabling integrations, stopping suspicious traffic, or confirming authority over a connected domain.

13.4 Failure to cooperate may itself be treated as a violation of this AUP.

13.5 Where appropriate, remediation options may include warnings, configuration changes, password resets, recipient-list hygiene, removal of problematic content, disabling forwards or integrations, staged restoration, or other conditions we reasonably require before restoring full access.

14. Enforcement

14.1 We may take any action we reasonably believe is necessary or appropriate in response to suspected or actual Abuse, including: (a) issuing a warning;
(b) requiring remediation;
(c) throttling or limiting sending;
(d) quarantining messages;
(e) blocking recipients, domains, links, content, or attachments;
(f) disabling aliases, forwarding, client access, or integrations;
(g) resetting Credentials;
(h) suspending part or all of the Services;
(i) refusing new account creation or domain connection;
(j) preserving evidence;
(k) disclosing information as allowed by law; or
(l) terminating the Account or Services.

14.2 We may act with or without prior notice. Prior notice is not required where we believe immediate action is appropriate to reduce security, legal, reputational, operational, or provider-related risk.

14.3 We may consider factors including severity, frequency, user history, evidence of compromise, risk to recipients, impact on Shared-Domain Reputation, provider requirements, and whether you cooperated promptly and effectively.

14.4 Enforcement decisions may affect one or more features rather than the entire Account, and restrictions may remain in place until we are satisfied that the relevant risk has been resolved.

15. Appeals

15.1 If you believe an enforcement action under this AUP was taken in error, you may submit an appeal by emailing:

15.2 Your appeal should include: (a) the affected Account or email address;
(b) the action you are appealing;
(c) why you believe the action was incorrect; and
(d) any supporting information or remediation steps already taken.

15.3 We may request additional information before deciding an appeal.

15.4 We will review appeals in a commercially reasonable manner, but response times may vary based on severity, risk, evidence, Provider involvement, and legal constraints.

15.5 Nothing in this Section requires us to restore an Account, reverse an enforcement action, or delay protective action while an appeal is pending.

15.6 If your request concerns access to, correction of, deletion of, or another right regarding personal data under applicable privacy law, please use the process described in the Privacy Policy. Privacy-rights appeals are governed by the Privacy Policy, not this Section.

16. Regulated Data, HIPAA, and Future Services

16.1 Unless we expressly state otherwise in writing, the standard Services are not represented as HIPAA-compliant and are not offered as a service for the creation, receipt, maintenance, or transmission of protected health information or other Regulated Data requiring special contractual, technical, or legal controls.

16.2 You may not use the standard Services for PHI or similar Regulated Data if doing so would require us or our Providers to enter into a business associate agreement, data-processing annex, sector-specific agreement, or other heightened compliance undertaking that has not been expressly executed.

16.3 If we later offer a HIPAA-enabled feature, organization account, AI-assisted feature, or other enhanced service: (a) additional terms may apply;
(b) we may require a separate written agreement; and
(c) this AUP will continue to apply except to the extent superseded by those additional terms.

16.4 If we later introduce AI-assisted features, you may not use those features to generate spam, phishing, impersonation, harassment, malware, unauthorized data extraction, or content that otherwise violates this AUP.

17. Remedies and Indemnification

17.1 Our rights and remedies under this AUP are cumulative and are in addition to any rights we have under the Terms of Service, the Privacy Policy, applicable law, or equity.

17.2 Your indemnification obligations under the Terms of Service apply to violations of this AUP, including claims, losses, fines, liabilities, costs, and expenses arising from your misuse of the Services, unlawful messaging, sender-reputation harm, provider claims, or misuse by persons acting through your Account or under your authority.

17.3 We are not liable for actions taken in good faith to investigate, mitigate, suspend, restrict, or otherwise address suspected Abuse, except to the extent liability cannot be limited under applicable law.

18. Changes to this AUP

18.1 We may update this AUP from time to time to reflect changes in the Services, technology, laws, provider requirements, security risks, or business practices.

18.2 Your continued use of the Services after an updated AUP becomes effective constitutes acceptance of the updated AUP to the extent permitted by law and the Terms of Service.

20. Reservation of Rights

20.1 Examples in this AUP are illustrative and not exhaustive.

20.2 We reserve the right to determine, in our reasonable judgment, whether conduct presents legal, security, reputation, or operational risk to the Services, users, recipients, or Providers.

20.3 We may enforce this AUP even if specific conduct is not expressly listed, where the conduct is substantially similar to listed conduct or otherwise undermines the safe, lawful, and reliable operation of the Services.
