This Privacy Policy explains how we handle personal information when you visit our website, join our waitlist or update list, contact us, apply for a scholarship, subscribe to or use our professional identity email service, or otherwise interact with our products, services, websites, communications, or related offerings (collectively, the “Services”).

This Privacy Policy is intended to work together with our Terms of Service, Acceptable Use Policy, and any other policies or disclosures we provide in connection with the Services. If a term is defined in the Terms of Service, it has the same meaning here unless this Privacy Policy states otherwise.

Overview and Scope

This Privacy Policy applies to personal information we collect:

through forms, waitlists, scholarship updates, launch announcements, and other sign-up experiences;

Those third parties have their own terms and privacy practices.

Relationship to the Terms of Service

Your use of the Services is also governed by our Terms of Service. This Privacy Policy explains our data practices. It does not create any contractual promise beyond what is expressly stated here or in the Terms of Service.

For example, this Privacy Policy does not mean that:

any email address is owned by a user rather than licensed;
the Services are HIPAA compliant;
the Services are guaranteed to be uninterrupted or secure; or

If you purchase a subscription, payments are typically processed by one or more third-party payment processors. We may receive limited information from those providers, such as:

confirmation that a payment was successful or failed;
the last four digits of a payment card or similar payment descriptor;
billing country or ZIP/postal code;
subscription status;
refund, dispute, or chargeback information; and
fraud-prevention or verification signals.

We do not intentionally store full payment card numbers or full card security codes on our own systems unless expressly stated otherwise.

If you apply for a scholarship or participate in a community initiative, we may receive information from academic institutions, referees, or publicly available sources to verify eligibility, enrollment, award administration, or program integrity.

How We Use Personal Information

create and manage accounts;
configure and operate licensed professional identity email addresses;

Email Content, Metadata, and Account Information

Because SpeechTherapy.com provides an email service, we necessarily process certain information to operate that service.

Mailbox Content

Mailbox content may include email messages, attachments, contacts, folders, labels, settings, calendars, and similar user-controlled information. We process that content to provide the Services you request.

As a general rule, we do not access mailbox content for marketing purposes.

Message Metadata

No HIPAA Representation

The Services are not represented as HIPAA compliant unless we explicitly offer a separate HIPAA-compliant service in a written agreement signed by an authorized representative of SpeechTherapy.com LLC.

Do not use the Services to store, transmit, or rely upon protected health information or other regulated clinical information unless and until we expressly provide a compliant offering for that purpose.

AI and Model Training

As of the Effective Date of this Privacy Policy, we do not use customer mailbox content or attachments to train generalized AI models for unrelated third-party use.

If we introduce AI-assisted features in the future that materially change how personal information or customer content is processed, we will update this Privacy Policy and provide any additional notice or choices required by applicable law.

Scholarship and Community Programs

If you apply for or receive a scholarship, we may share relevant information with reviewers, educational institutions, financial administrators, accountants, legal advisers, and other parties reasonably necessary to verify eligibility, administer an award, prevent fraud, or document the program.

If you become a scholarship recipient, we may publish or share limited information such as your name, school, award year, general biography, and award-related details if you consent, if described in the program materials, or if otherwise permitted by law.

we do not intentionally use mailbox content or attachments as a general training dataset for unrelated public or third-party AI systems; and
we do not offer the Services as a HIPAA-compliant platform.

Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law, contract, dispute resolution needs, backup cycles, fraud prevention, tax rules, accounting obligations, or legitimate security and operational reasons.

The exact retention period depends on the type of information and the reason we collected it. In general, we use the following retention approach:

Website, Waitlist, and Contact Information

Waitlist, launch, and update-list information: retained until you unsubscribe, ask us to delete it where applicable, or we determine it is no longer needed for the purpose collected.
Suppression records for unsubscribes: retained as needed to honor your opt-out and comply with communications laws.
General contact inquiries and support messages: typically retained for up to 24 months after the matter is closed, unless longer retention is reasonably necessary.

Mailbox and Service Data

Mailbox content and account-stored data: retained until you delete it, close the account, or the data is otherwise removed in the ordinary course of service operation.
Deleted mailbox content: may persist for a limited period in backups, redundancy systems, logs, or disaster-recovery environments before being overwritten in the ordinary course.
Operational metadata and logs: retained for varying periods depending on the system and purpose, generally from a short operational window up to 12 months, and longer when needed for security, abuse prevention, or legal compliance.

Scholarship and Program Records

Scholarship applicant materials: typically retained for the duration of the relevant award cycle and for up to 3 years afterward, unless longer retention is needed for administration, audit, fraud prevention, documentation, or legal reasons.
Recipient records and institutional payment records: may be retained for up to 7 years or longer where necessary.

Deidentified Information

We may retain deidentified or aggregated information for a longer period or indefinitely if it no longer reasonably identifies a person.

Your Choices

You may have the following choices, depending on how you interact with us:

Marketing emails and updates. You may unsubscribe using the link in the message or by contacting us. We may still send you non-marketing messages about your account, service, support requests, billing, security, legal matters, or changes to the Services.

Public scholarship information. If you are a scholarship applicant or recipient and have questions about publicly shared award information, contact us and we will review the request in light of program integrity, preexisting disclosures, legal obligations, and our legitimate interests.

U.S. Privacy Rights and State-Specific Rights

Depending on where you live and the laws that apply to us, you may have rights such as the right to:

confirm whether we are processing your personal information;
access personal information we hold about you;
correct inaccurate personal information;
delete certain personal information;
obtain a portable copy of certain personal information;

Children’s Privacy

The Services are intended for users who meet the eligibility requirements in our Terms of Service and are not directed to children under 13.

If you believe a child under 13 has provided personal information to us in violation of this Privacy Policy, contact us and we will take appropriate steps to investigate and, where appropriate, delete the information.
